Definitions and process overview

Faculty associates are part-time instructors on a semester to semester contract to teach courses as needed based on the college’s needs. Academic associates are part-time instructional positions on a semester-to-semester contract that support the course instructor of record if there are at least 41 students enrolled. Their duties include assisting with the grading of higher-level assignments and assessments and communicating with students. Degree or program directors are responsible for submitting requests each semester for these positions. The Academic Success Hub will send out an email when requests can begin to be submitted and an initial deadline for submission.

Process

  1. Degree or program director initiates a request in DocuSign.
  2. Request routes for approval from Academic Success leadership and finance.
  3. If approved, Edward generates an offer letter.
  4. The dean reviews the offer letter and signs.
  5. Edward sends the offer letter to FA/AA and copies to degree or program director. No FA/AA should begin work without an offer letter.

Submit Request

Note: For a new hire request (any individual that has never worked for CHS), please also submit a copy of their resume/CV and complete the waiver. An offer letter will not be generated without this request. 

Courseload limits

FA teaching and AA assignments cannot exceed the following maximum course assignments. If they exceed this maximum and/or have additional assignments with another unit, please contact academic personnel HR to discuss next steps.

Summer

  • Faculty associates are eligible to teach up to one 3-credit course (or 3 credits total for courses) during the summer.
  • Academic associates are eligible to support up to two 3-credit courses (or 6 credits total for courses) during the summer.

Out of State FA/AAs

Faculty associates and academic associates that live and work out of state must complete an out of state request form with ASU Accounting. When requesting an FA/AA that resides out of state, please ask them to complete the form. Academic personnel HR will route for signatures. These forms must be approved by the degree/program director, the assistant dean of Undergraduate Education or Graduate Education, the dean of the College of Health Solutions, and the Vice Provost. Please be aware, out of state forms must be signed by the CHS dean prior to issuing the offer letter.

Once approved, academic personnel will copy you on the email to the FA/AA including their offer letter. Please note that you will also receive a copy of the form once finance approves your request, but the request is still pending approval from the dean at that point.

Yes, as long as the course is scheduled to start within two weeks. Note that the request will still require approval and may be delayed until the enrollment is met.

Exceptions are reviewed by the academic success associate deans and are approved on a case by case basis. Exceptions are very limited. A detailed justification should be provided to request an exception.
