Executive Summary

The CHS Community Placements team has been tasked with centralizing internship processes for all programs, undergraduate and graduate. Our mission is defined as follows:

  • Assisting students in making the connection between the classroom and professional career success.
  • Engaging community partners to enhance student learning through internship, research, and other collaborative efforts. Likewise, empowering students to influence health related partners through an evidence based approach and to be a part of developing solutions.
  • Leveraging faculty relationships to support internships, research, and experiential learning. Also, supporting faculty curriculum and research goals through the experiential opportunities we help provide.
  • Inspire, support, and foster relationships to create innovative and practical processes in support of the mission of the community placements team as well as the College of Health Solutions.

The CHS Placements database was designed with this mission in mind. The platform allows students to search available internship opportunities, obtain contact information for sites, and submit their individual internship learning agreements. Students may also create new internship sites should they find a placement opportunity outside of the database. Currently the system supports primarily undergraduate students with the ability to later encompass graduate opportunities as well.

The CHS Placements database served as the design foundation for the Translational Team opportunity platform. We collaborate with CHS Community Placements team, CHS student interns, faculty supporting, CHS internship courses, CHS advising team, and community partners hosting student interns.

Features and Enhancements

  • The detail page of each opportunity now displays the type of course chosen for it. 

  •  The detail page of each opportunity now displays the session chosen for it.

  • ‘Placement Contact’ on the ‘create contact’ form has now been renamed to ‘site supervisor’.

 

Bug Fixes 

  • Previously contact information on an opportunity that could not be removed has now been fixed so it can be. 

  • The ‘download CSV’ on the application progress page was not working before but has now been fixed.

  • Previously unable to change semesters for PIP submission but has been fixed so students can choose the semester they are submitting the PIP form for.

  • Commitment level only shows up when the translation team is chosen as the type

  • On the site report’s graph, it can seen how many students have been approved, published, and incomplete opportunities

  • When creating an opportunity, students can now view the site ID

  • Students view to ‘how to apply’ on SLPA opportunities has been changed to ‘email resume and cover letter to Internship Support Coordinator’

  • When creating a contract and selecting restricted, ‘college of health solutions’ is now the only option

  • On ‘active sites’, site visits and site notes have been combined

  • Active Student Opportunities now has the ability to add start and end date for each student opportunity

  • Active Student Opportunities now has the ability to add hours worked for each student opportunity 

  • Active Opportunities are able to sort the list to get item by item

  • PIP is able to be download to excel on the application progress page

  • PIP form can save with a changed semester 

  • Email and header for “Application Needs More Information” has been added

  • Students receive a notification when they have completed all they needed to submit 

  • A function has been added to email student applicants individually and collectively

  • CHS Placement Application Progress has an add on that lets user export information generated onto an excel file

  • The “How to Apply? Section of the Create an Opportunity Page has been updated to reflect new options for SLPA

  • SLN of course has been added as an input section on the ‘Add Opportunity’ page for the Translational team option.

  • TT instructor now receives email notifications when students submit an application for an opportunity and when they are denied.

  • “Upload Course Agreement’ button renamed to ‘Click To Apply To TT With Resume and Cover Letter’

  • Student’s view on ‘Submission and Approval of ILA’ now says 8 weeks

  • The home page had no verbiage present but has been added to give information about the CHS Community Placements Database

  • On opportunity details, a publishing field was added to indicate if the opportunity is published or not

  • On opportunity details, a semester field was added to indicated what semester the opportunity took place in

  • ‘Course Agreement and Upload Course Agreement’ is checked by default when adding an opportunity 

  • Application Progress page now reflects a ‘Completion of Required Items’ instead of ‘Completion’

  • Out of State Learning Placement Reporting are now available

  • Enhanced the contracts list page with new filters.

  • Enhanced the expiring contracts dashboard with begin and end dates.

  • Adjusted the opportunity publishing process by allowing a 90 day grace period between. the expiration of a contract and the end of the opportunity semester.

  • Added contract status and stage fields when adding a new contract. If not entered, they will default to the previous defaults when adding a new contract.

  • Navigational link to Students website from mychs

  • Added signature when ILA is approved

  • Once ILA is approved, system generates a certificate and merges to existing ILA, then emails the document to student and supervisor

  • There is now an “Add opportunity” button on the site under opportunities which takes the coordinators to the add opportunity menu tab.

  • ILA open dates for fall updated: June 25, 2020 - August 28, 2020

  • Menu tab labeled “completed internships” was created under “student opportunities” section. This shows information for students that have a grade in an associated course (from Canvas) and have all required items approved. 

Bug Fixes

  • Clicking on the button to upload a cover letter prompted instructions that said to upload a CV. This has been fixed so that button and instruction verbiage are consistent. 

  • PIP would not allow student to update city, but the student could not proceed without updating. Fix: since many sites do not have the city field completed currently, the city field will not be required if an existing site is selected. If the student is entering a new site, it will be required. 

  • TT scaffolding is now Fall/Spring/Summer

  • Normal internships with only Generate and Upload ILA tasks will no longer block submission based on the missing PIP form perquisite.

  • PIP opportunities with PIP and Generate and Upload ILA tasks will block the ILA tasks until the PIP prerequisite is approved.

  • Opportunity list site is working correctly now. 

  • Translational Team student display has been fixed

  • The Student Opportunities Application Progress page can now be filtered by course.
